Replaced 5 tools for us
We use Notion for docs, wiki, project tracking, meeting notes, and even our CRM. At $10/user it's incredible value. The flexibility is unmatched - if you can imagine it, you can build it. Only caveat: it's not a dedicated PM tool, so complex project dependencies aren't its strength.
Pros
- Incredibly flexible
- Great value
- Beautiful design
- Active development
Cons
- Not great for complex PM
- Mobile app could be better
- Can be slow
Great CRM but gets expensive fast
HubSpot's free CRM is genuinely useful and got us started. The marketing hub integration is seamless. However, once you need advanced features or more users, costs escalate quickly. We're now paying $800/month which is tough for a startup. Still recommend it, just budget accordingly.
Pros
- Free tier is solid
- Great UX
- Marketing integration
- Good reporting
Cons
- Expensive at scale
- Some features locked
- Per-seat pricing adds up
Powerful but overcomplicated
Zendesk has every feature you could need, but that's also its weakness. Setup took months with a consultant. Daily tasks require too many clicks. We're now evaluating Freshdesk and Help Scout for something simpler. If you're enterprise with a dedicated admin, it's great. Otherwise, look elsewhere.
Pros
- Comprehensive features
- Great integrations
- Scalable
Cons
- Complex setup
- Steep learning curve
- Expensive
- Slow support
Perfect for our growing brand
We migrated from WooCommerce 2 years ago and never looked back. The admin is intuitive, apps work great, and our conversion rate improved 23%. Yes, the fees add up, but the time saved is worth it. Customer support has been excellent whenever we needed help.
Pros
- Easy to use
- Great app ecosystem
- Reliable uptime
- Good support
Cons
- Transaction fees
- Apps can be expensive
- Limited customization
Transformed how our agency works
Our team tried Asana, Trello, and ClickUp before landing on Monday. The visual boards are perfect for our creative workflows, and clients love the dashboards we share. Automations save us hours each week. The only downside is it can slow down with very large boards.
Pros
- Beautiful interface
- Great automations
- Client-friendly
- Flexible views
Cons
- Can get slow
- Expensive for large teams
- Learning curve
